What is missed call text back?

Missed call text back is a tool that sends an automatic text message to anyone whose call you miss. The text says sorry, tells them when you will call back and often lets them explain what they need. It keeps the caller talking to you instead of ringing the next business on the list.

A tradesperson up a ladder misses a call on the phone left on their van, and an automatic text reaches the customer at the front door.

How does missed call text back work?

When a call to your business number goes unanswered, the system notices and sends a text to the caller's mobile within a minute or so. The caller can reply with what they need or wait for your call. You see the call and any reply together, so you can pick it up when you are free.

  1. A customer rings your business number. You are up a ladder, with a client or driving.
  2. The call goes unanswered or reaches voicemail.
  3. The system spots the missed call and checks the caller rang from a mobile.
  4. A text goes out automatically with your business name and a short, friendly message.
  5. The customer replies with the job, a photo or a good time to call.
  6. You follow up with the details already in front of you.

A text only reaches a mobile, so anyone who rang from a landline still needs a call back. Most systems skip those numbers or flag them for you.

Why do missed calls matter for a small business?

A caller who cannot reach you will often try the next name on the list. They wanted help now, and you were busy doing the work that pays. A quick text tells them you exist, you noticed and you will be in touch, which is often enough to stop them ringing a rival.

Picture a hairdresser halfway through a colour. The phone rings twice in ten minutes. Without a reply, both callers may book somewhere else before the client is rinsed. With an automatic text, both know they will hear back by lunchtime, and one has already replied with the day they want.

Not sure how much this matters to you? Our missed call calculator helps you put a rough figure on the work that slips away.

What should a missed call text say?

Keep it short, personal and useful. Name your business, say sorry you missed them, say when you will call back and invite them to reply with what they need. Leave out offers and sales lines, because this text is about their call.

Here is one you can adapt:

Hi, it's Dan at Parkside Plumbing. Sorry I missed your call, I'm on a job right now. I'll ring you back by 1pm. If it helps, reply with what you need and your postcode.

  • Use your business name so the text is not mistaken for spam.
  • Give a time you can keep. "By 1pm" beats "as soon as possible".
  • Ask one easy question, such as the job and the postcode.
  • Write a different text for evenings and weekends that says when you are next open.
  • Send one text per missed call, never a string of follow-ups.

Is missed call text back allowed under UK rules?

Usually, yes, as long as the text is about the call the person just made. The Information Commissioner's Office (ICO) says messages for administrative or customer service purposes are service messages, not direct marketing. Add a promotion and that changes.

If your text includes an offer or pushes another service, the ICO treats it as marketing. Its guidance says you must not send marketing texts to individuals without their consent, with a narrow exception for some existing customers. So keep the missed call text to the call itself. Phone numbers are also personal data, so keep them secure and only use them for the reason you collected them. This is a summary, not legal advice.

Which businesses get the most from missed call text back?

Any business where the owner or team cannot always answer the phone. That covers trades on site, salons mid-appointment, cleaners, clinics and restaurants during service. If you already have someone answering every call, you will get less from it.

  • Trades: plumbers, electricians and builders who work with their hands full.
  • Beauty and wellbeing: salons, barbers and therapists who cannot stop mid-appointment.
  • Home services: cleaners, gardeners and removal firms on the move.
  • Clinics: dentists, physios and vets whose front desk gets busy.

How do you set up missed call text back?

You need a system linked to the number customers ring. Some work with your existing number by forwarding unanswered calls. Others give you a new number to put on your website and van. Then you write your messages, set your hours and test it.

  1. Check it works with your number. Ask whether you keep your current number or need a new one.
  2. Write two messages: one for working hours and one for when you are closed.
  3. Decide where replies go. Ideally into the same place as your other enquiries, not a separate app.
  4. Test it from a mobile. Ring your number, let it ring out and check the text arrives with the right wording.
  5. Review it weekly. Look at how many missed calls replied and how many became jobs.

It works best inside a customer relationship management (CRM) system, so every missed call, text and reply sits on one customer record. Our guide on what a CRM is explains how that works. To compare systems, see how to choose the best CRM for a small business.

What does missed call text back look like in a real day?

Here is a made-up example. An electrician is rewiring a kitchen at 10am and misses two calls. Each caller gets a text within a minute saying he will ring back after lunch.

One caller replies with a photo of a tripping fuse box and their postcode. The other does not reply. At 12.30, the electrician calls the first customer with the photo already in front of him and books a visit for the next morning. He calls the second back too, as promised. Neither caller was left wondering if anyone had noticed.

Common questions

Does missed call text back work with my existing number?

It depends on the system. Many keep your current number and forward unanswered calls, while others give you a new number. Ask before you sign up.

Is missed call text back the same as voicemail?

No. Voicemail waits for the caller to leave a message, and many people hang up instead. A text goes to them, so they can reply in their own time without leaving a message.

Do I need consent to send a missed call text?

A reply about the call the person just made is normally a service message rather than marketing, so marketing consent does not usually apply. Keep it to their call, because adding an offer turns it into marketing.

Can the text go out when I am closed?

Yes. Most systems let you set a separate message for evenings, weekends and holidays that says when you will be back.

Will customers find an automatic text annoying?

Not if it is short, polite and sent once. Most people would rather know you saw their call than hear nothing. Avoid repeat texts and sales messages.
